R&R Counseling Collective uses SimplePractice, a third-party electronic health record (EHR) and practice management platform, to support the secure administration of our clinical services.

Depending on the services you receive and the features being used, SimplePractice may be used for functions such as:

• Maintaining electronic client records and clinical documentation

• Scheduling and managing appointments

• Completing intake paperwork, consent forms, and other clinical documents

• Secure client-provider messaging

• Telehealth appointments

• Billing, payment processing, and insurance-related information

• Providing clients access to their secure Client Portal

• Sending appointment reminders and other practice-related communications

SimplePractice reports that its platform is HIPAA compliant and HITRUST certified and maintains a HIPAA Business Associate Agreement with its healthcare-provider customers. R&R Counseling Collective uses SimplePractice as a business associate and service provider in connection with the operation of our practice.

Your Information in SimplePractice

When you become a client of R&R Counseling Collective, certain personal, health, financial, insurance, scheduling, and clinical information may be entered into or transmitted through SimplePractice as necessary to provide and administer your care.

Your clinical information remains subject to R&R Counseling Collective's Notice of Privacy Practices, applicable confidentiality laws, and other legal protections governing health information.

SimplePractice also maintains its own policies explaining how it processes client information on behalf of healthcare practices using its platform. We encourage clients to review those policies so they understand how information is handled when using the SimplePractice Client Portal and related services.

Use of SimplePractice does not change your privacy rights as a client of R&R Counseling Collective. Questions regarding your clinical record, our privacy practices, requests for copies or amendments of records, or concerns regarding the use or disclosure of your protected health information should be directed to R&R Counseling Collective.

Secure Client Portal

Clients may receive access to a secure SimplePractice Client Portal. The portal may allow you to complete paperwork, view or request appointments, exchange secure messages, access documents, manage billing information, and participate in other practice-related activities.

For your privacy and security, please keep your Client Portal login credentials confidential and notify us promptly if you believe your account or login information has been compromised.

Important Communication Notice

The SimplePractice Client Portal, website contact forms, email, and electronic messaging should not be used for emergencies or urgent mental health concerns. These communication methods are not continuously monitored.
